Last year we accomplished a lot together, from multi‑property control to smarter pricing, mobile usability, and stronger security. It was a year that transformed how you and your team use Protel PMS, with new capabilities that strengthened operations and improved flexibility across every property.

We released 20 major features across our Cloud PMS, introduced many meaningful enhancements across the user interface, reservations, Marketplace, and performance, expanded to over 100 strategic partners using the new Cloud API, and launched our Integration Partner Program. 

We now have a PMS that is faster, smarter, and more connected across your property.  

Our latest Cloud enhancements offer a flexible hybrid setup, allowing you to run Cloud or On‑Premise properties while keeping a single integration partner.  

In this edition, you’ll see how Protel PMS continues to streamline work across single-property and multi-property, strengthening visibility, reducing friction, and helping teams deliver exceptional stays with less effort.

Last year, we strengthened our open architecture to enable your team to connect technology more easily. With the Cloud Open API, teams were able to integrate third‑party tools more quickly and customise operations to meet both guest expectations and business needs.

Introducing single sign-on and seamless shared reservations

An excellent guest journey starts with removing friction behind the scenes. That’s why we’ve introduced single sign‑on. It’s safe and secure, keeps your team in one place, whilst connecting third‑party tools directly inside the PMS without multiple logins or system switching.  

Economic conditions are driving greater demand for shared reservations. As a result, we have worked hard to simplify your workflow for shared reservations. It is now easy to manage multiple guests in a single room while keeping pricing, keys, billing, and profiles separate.

Multi-Property Environment (MPE)

Centralised control  

Managing your entire hotel portfolio is now simpler and more connected. Enhanced multi‑property configuration lets you streamline system data, manage setup centrally, and create multiple reservations at once with extended Quick Group support. These improvements work hand in hand with a new consolidated dashboard that brings revenue, occupancy, and other key metrics into a single real‑time view. This gives you clearer insights, faster decisions, and complete visibility across your entire portfolio without navigating multiple systems or manually gathering reports.

It’s essential that your staff can learn to use the Protel Cloud PMS quickly and easily. That’s why we introduced interactive pop-ups and intuitive walkthroughs to guide first-time users, which explain key screen features and navigation. Intuitive tips appear when hovering over menu options, providing instant explanations of features and links to additional resources.

Mobile Responsiveness  

PMS in your pocket  

Throughout the year, we introduced updates that ensure your team is no longer tied to the front desk. The Cloud PMS is now fully responsive on smartphones, and system data is mobile‑friendly too. This means your team can greet guests at the door, walk them to their room, and check them in along the way. While on the move, they can also update room status, post minibar charges, manage lost and found, and create repair orders. 

 

Component Room  

Reserve multiple rooms as one booking   

You can now create flexible room setups for your hotel and guest needs. It’s easy to combine two or more physical rooms into a single component room under a single reservation. Occupancy and rooms are automatically tracked and blocked out, so you know which ones are used for component rooms.

Additional new features

Small changes make a big difference

We have continued to make many important micro-adjustments to enhance your experience across the Protel PMS, including data analysis, reporting, rates, payments, invoices, re-booking, and the guest journey. And this will continue throughout 2026. 

 

2025 On‑Prem highlights


More control, less effort

Protel On‑Premise continues to evolve with updates that give your hotel greater clarity, smoother workflows, and stronger performance. We’ve introduced enhanced audit logging to provide full visibility into who did what and when. It will help teams prevent issues and resolve them faster. The new Document Module simplifies invoicing with an easy, in‑PMS way to create and manage documents, without using external tools. We’ve also re-designed the active desktop to make daily operations easier to navigate, from check‑ins to KPIs and housekeeping. And with the ongoing 64‑bit upgrade, Protel On‑Premise is now faster, more stable, and more responsive, supporting more efficient day‑to‑day operations across your property.

What’s coming in Frebruary


MPE Reports

Additional Centralised Multi-Property Reports

Our reporting capabilities continue to evolve, and this release brings even more value for multi‑property users. 
From the Central App, you can now access a broader set of statistical reports, all in one place. Whether you're reviewing a single property or comparing activity across your whole portfolio, you can filter and generate the information you need in just a few clicks.

To enhance data understanding across your portfolio, we've introduced new Market Code and Distribution Channel Statistics reports, giving you clearer visibility across your properties.


Daily rates enhancements 

Optimise your pricing daily with flexible rate management 

We know that if you can spot opportunities and quickly update rates in response to market changes, you can drive occupancy and revenue for your hotel. So, we’ve made it easier to update rates with a calendar view and global editing functionality. Simply select a date range, and occupancy, then enter the amount to adjust the rate by. You can make global adjustments to date ranges or room types to improve efficiency.     

 

Coming soon

Looking ahead, 2026 brings a new wave of enhancements designed to simplify operations and elevate the guest journey even further. You’ll see new discount tools that give your team more flexibility at the front desk, city tax automation to reduce manual work in your operation, and improvements to group and allotment management that make managing larger bookings smoother and more intuitive for you and your team. We’re also enhancing the current Pay‑by‑Link experience as part of our full‑stack payments vision, making it easier for guests to pay and for teams to track, reconcile, and manage transactions with confidence.

Protel Cloud - MPE Config

Enhanced Multi-Property Functionality

Central configuration is becoming even more powerful. We’re adding new menu options that let you manage system data with greater clarity and consistency right from the Central App. Policies can now be configured once and synchronised across your entire portfolio or targeted to specific properties where needed. That means less duplication, fewer errors, and a smoother operational setup across every hotel.


Protel Cloud - Discounts

Apply guest discounts at the touch of a button

Our new discount functionality empowers your authorised staff to offer discounts at their discretion. Authorised team members can quickly create, manage, and apply discounts throughout the guest's stay. We’ve also built in role-based permissions and audit trails to give you oversight and control.


Protel Cloud - City Tax

Automatically apply local taxes to a guest booking

Municipal governments in some cities and towns impose local taxes on individuals, businesses, or transactions within their jurisdictions. We’re creating a dedicated area for city tax calculations. You can automatically apply taxes to a reservation, taking into consideration if the guest is exempt and the length of stay. Once you’ve configured city tax, it will automatically apply to all reservations, unless an exemption is applied.


Protel Cloud – Performance  

Enhancing stability and efficiency

To support smoother operations across every property, we’re also delivering a series of performance and stability improvements. These include faster rate loading on the Sales Enquiry screen, enhanced rate‑management tools with global editing and simulation, and expanded audit logging for greater transparency and compliance. Together, these updates strengthen day‑to‑day efficiency and give your teams a more responsive, reliable PMS.


On-prem and Cloud – NF525 Certification  
Recording customer payments to combat VAT fraud in France 
NF525 certification is a French regulatory requirement designed to combat VAT fraud. This will ensure that Protel PMS secures, archives and maintains unaltered transaction data for French tax audits.

Advancing speed and usability

We’re preparing for a strong 2026 with enhancements that boost performance and simplify daily work. This year brings our full 64‑bit release, delivering faster speeds, greater stability, and smoother rate and reservation management. We’re also introducing a new Language Management Studio to streamline localisation, along with a next‑generation reporting suite that gives hotels deeper insights and more confident decision‑making.
