The challenge

Hotel Olden operates as a highly personalised luxury boutique property in the centre of Gstaad, where discretion, continuity, and guest recognition are central to the experience. With eight individually designed rooms and a well-established restaurant welcoming both residents and non-residents, operations require precision and flexibility across departments.

The immediate challenge arose when the hotel’s existing PMS provider, announced it would cease trading. This forced a time-sensitive migration to a new system. Beyond urgency, the hotel also faced broader industry challenges: fragmented systems, limited integration between hotel and restaurant operations, and the need for more flexible, remote access to data. 

The solution

Hotel Olden selected Protel Cloud PMS as a modern, cloud-based platform capable of supporting both boutique hotel operations and a restaurant business.

A key differentiator was Planet’s ability to integrate with the hotel’s POS system, enabling unified management of guest and non-resident dining activity. This allowed the team to consolidate operational and reporting workflows across both sides of the business.

The cloud-based architecture provided immediate improvements in accessibility, enabling staff to manage reservations, reporting, and administration remotely and more efficiently. The system also centralised guest information, improving visibility and supporting a more personalised service approach.

Implementation was supported by a dedicated Planet consultant who acted as a single point of contact throughout onboarding, configuration, and go-live. Structured online training and hands-on support ensured the team could adopt the system quickly despite the tight timeline. 

The result

Despite the time-sensitive nature of the migration, Hotel Olden successfully transitioned to Protel Cloud PMS with minimal disruption to operations.  

The hotel immediately benefited from improved system accessibility and greater flexibility in managing day-to-day tasks. Centralised data and enhanced integration capabilities have begun to simplify administrative processes and reporting, particularly across hotel and restaurant operations.
